Evidence-Based Monitoring: How to Back Up Your Claims in Tenders

It’s easy to say you “have a robust monitoring system.” It’s harder to prove it. In tenders, that proof is what wins the marks.


📌 Make It Tangible

Instead of vague statements like “we track trends,” say:

  • “We use a weekly compliance dashboard to identify patterns across medication errors, falls, and incident reports.”
  • “Audit findings are discussed fortnightly at a Service Improvement Meeting chaired by the Registered Manager.”

📚 Share Examples

If you’ve changed practice based on your monitoring — say so. Examples matter:

  • “We introduced a hydration chart after noticing low fluid intake during spot checks.”
  • “Staff training was refreshed following audit findings on missed signatures.”

This proves the loop is working.


🧾 Include Tools and Templates

List what tools you use — it makes your system feel real:

  • Audit templates
  • Incident trackers
  • Quality improvement logs

If you mention a QI log, describe what goes in it and who reviews it.
